Run the store on your day off.
Your team gets answers at any hour from your own store manuals and policies. The sales floor is proven recovered with a photo before you ask. A late task finds the manager on duty on its own. No more calls on your day off.
No more calls on your day off.
The window display has to change tonight and the person doing it has never built one. Nobody wants that call on a day off, or at dinner with the family, over something that is already written down. Nobody wants to pull the manager off the sales floor for it either. Put your store manuals and policies into Oversee once. After that the answer is one tap away for your team, at any hour, in your words.
Sales associate, 8:40 PM: How do I set up the holiday window display?
1. Clear the window and clean the glass inside and out.
2. Build from the back: tall fixtures first, then the three mannequins from the planogram.
3. Price cards face the street, bottom right of each group.
4. Lights on timer 4, then photograph the window from across the street.

New cashier, 11:15 AM: Can I take a return without a receipt?
Yes, within 30 days, for store credit only.
- Ask for photo ID and enter it at the register.
- The credit is at the lowest price in the last 30 days.
- Over $75 needs the manager on duty to approve at the register.
From: Returns and exchanges policy
It answers from what you wrote
Register steps, returns and exchanges, display guides, opening and closing rules. Upload the PDF or Word file, or a photo of the page, or type it in. A photo or a scan is read for you, and you check it once. Every answer shows which manual it came from.
It says so when it is not written
It does not make up a policy, a limit or a price rule. If your manuals do not cover it, it says that and names the manager to ask.
In each person's own language
Someone in the stockroom asks in Spanish and gets your English procedure in Spanish, with every amount, limit and step kept exactly as you wrote it.
The rest of the day, without you in the store
- The sales floor, proven recovered. Tables folded, fitting rooms cleared, the window set. Each is photographed, with the date, time and place written into the picture. Approve it or send it back from your phone.
- A late task finds the manager on duty. When a task runs late, the manager for that store is told automatically. It reaches you only if it is still open after that.
- You know the store opened on time. Staff clock in by phone with their location, by the QR poster or on the shared tablet. The live board shows who is in at every store.
- One screen the next morning. Last night's close with its photos, which supplier price went up, what was written off as damaged and a score for each store.
More productivity and effectiveness across the board, at the touch of a button.
From the first till count to a recovered sales floor
One ordinary day with a small team and a delivery in the middle of it. Nothing here needs you to be in the store.
8:30 · The opening list is already on the phone
Alarm off, lights and music on, till float counted, entrance and windows checked. Each line asks for what it needs: a note, a photo or a manager's approval.
11:15 · A return without a receipt, handled your way
The steps come from your own returns policy, with the limit exactly as you wrote it and the name of the policy under the answer. The manager stays on the sales floor.
13:00 · A delivery is counted in, and a price has moved
The new stock is counted in on the phone and the new cost goes in with the count. A cost that is higher than last time turns the line red the same minute.
16:30 · Damaged stock goes on the record, not in a drawer
The item, the amount, the reason. The cost comes from the item's own price today, so the write-offs at the end of the month explain themselves.
21:10 · The close is proven, not ticked
Sales floor recovered, fitting rooms cleared, till counted with a witness, doors and alarm. The photos carry the date, time and place, and a photo that was used before is flagged.
9:00 · One screen, and then back to your day
Last night's close with its photos, who opened this morning, what was written off and a score for each store. If a task ran late, the manager on duty already heard about it.
What each person gets
Owner
See every store without visiting any of them.
- Staff questions go to the assistant, not to your phone
- Last night's close with its photos, on your phone
- Supplier price rises and write-offs in dollars
- A score per store, weighted the way you decide
- Every task, photo and change kept in the audit log
Store manager
Stay on the sales floor, not in the group chat.
- Staff ask the assistant first, so you are not pulled away from customers
- One queue to approve proof or send it back
- Late tasks come to you on their own
- Build the rota, cover time off, hand a shift over with its tasks
- Counts with target levels and an order suggestion
Sales associates, cashiers, stockroom
Know what is expected, in their own language.
- Today's list on the phone before the shift starts
- The task itself says what proof it needs
- Clock in by phone, QR poster or the shared tablet
- An assistant that answers from your manuals and policies, at any hour
The parts of Oversee a store leans on
An assistant that knows your store manuals
Staff ask how a return, a display, a gift card or a closing step is handled and get the answer from your own written policies in one tap, at any hour and in their own language, without calling you or pulling the manager off the floor. It names the manual the answer came from, and when something is not written it says so instead of guessing.
Photo proof with the time and place on it
Opening, recovery and closing photos carry the date, time and store inside the picture. A photo that was already used for another task is flagged.
Training that ends in a quiz
Put the register procedure or the returns policy in Training as a video or a PDF. Nobody counts as trained until they pass, and a new version asks everyone again.
Late work that reaches somebody
A task past its planned time goes to the manager for that store, then above them if it stays open. Nobody has to notice for it to be noticed.
Counts, target levels and an order list
Staff count what is on the shelf in the order they walk the store. Oversee works out what is short against your target level, and copies a catalogue from one store to the next.
Supplier prices and write-offs in dollars
A new cost that is higher turns the line red the same day. Damaged and expired goods are logged with a reason and priced from the item's cost that day.
Shifts, clock-in and payroll export
Build the rota, let staff clock in by phone, QR poster or shared tablet, and export the hours to ADP, Gusto, QuickBooks or CSV.
What owners tell us
The question you answer forty times a shift
"Can I take this back without a receipt?" "How does the window go?" "When am I in next?" Every one of them is a call to an owner on a day off, or a manager pulled off the sales floor.
What Oversee does: Every employee has an assistant in the app, in their own language. It answers from the store manuals and policies you uploaded and says which one the answer came from, and it answers from their own tasks, rota and hours. If something is not written, it says so and names the manager to ask.
The floor that was not recovered
The closing list says the floor was recovered. At ten the next morning the first customer walks past unfolded tables and a fitting room full of go-backs.
What Oversee does: The recovery task requires a photograph of the tables and the fitting rooms. The date, time and place are written into the picture, so a closing tick has a closing picture behind it.
New and seasonal staff every few months
Every holiday season you train a new group on the register, returns and the alarm, and half of it is forgotten by the second shift.
What Oversee does: Put the procedure in Training as a document, photo or video, and end it with a short test. Nobody counts as trained until they pass, and when you update the procedure everyone retakes it.
Ordering by looking at the shelf
Somebody glances at the stockroom and orders what feels low. Best sellers run out and slow lines pile up.
What Oversee does: Set a par level per item. Staff count what is there in the order they walk the store, Oversee works out the shortfall, and the order exports to a spreadsheet.
Several stores, no way to compare
You hear how a store is doing from whoever manages it. There is no single place that shows which store closed properly last night.
What Oversee does: A health score per store from what actually happened: tasks completed, photos supplied, locations verified, approvals cleared. You set what each part is worth, and the live board shows every store as the day happens.
A closing list for a sales floor
What has to be true before the doors open again.
- Sales floor recovered, tables folded (photo required)
- Fitting rooms cleared, go-backs returned (photo required)
- Window display lights on timer
- Deliveries put away, stockroom door locked
- Damaged stock written off with a reason
- Till counted and deposit witnessed
- Doors, alarm and shutters checked (photo required)
Common questions
What happens when staff have a question and I'm not there?
They ask the assistant in the app, and nobody has to call you or pull the manager off the sales floor. It answers from the store manuals and policies you put in Training, at any hour and in their own language, and shows which manual the answer came from. What's on today, the next shift and hours worked are answered the same way.
Can the assistant tell my staff the wrong policy?
It answers only from what you wrote or uploaded, and keeps every limit, period and step exactly as written. If your manuals do not cover the question, it says so and names the manager to ask. It does not fill the gap with a guess. A scanned page or a photo is read into text for you, and your team is answered from it only after you have checked it against the original.
Does it replace my POS or my inventory system?
No. Oversee does not take payments or hold your product catalogue for sale. It keeps the work, the proof, the hours and the training. With the inventory add-on it also keeps counts, supplier costs and write-offs, and exports them as CSV.
Do my staff need their own phones?
Most people use their own. Where phones stay in the locker, put a shared tablet by the stockroom and staff clock in on it with a PIN. Tasks and photos are done in the app on a phone.
We hire seasonal staff every winter. Does that work?
Yes. A new person gets the app in the language their phone is set to, sees today's list, and takes the training for their position with a quiz at the end. When the season ends, one tap ends their access and keeps their timesheets and history.
Can I see more than one store?
Yes. Each store has its own lists, staff and reports, and each is billed on its own. The live board shows every store at once, and the reports compare them side by side.
What if the stockroom has no signal?
Lists, counts and photographs are kept on the phone and sent the moment there is signal again. A basement stockroom does not stop a count or a proof.
How do we get started?
Create the company, choose Retail, and edit the starter tasks Oversee suggests. Add your stores and invite staff by email. Most of the work is deciding which tasks need a photo.
Start with your own checklist — Fourteen days, no card. Build the real list for your site and watch it come back with the proof attached.
